There are a lot of things to think about when you're considering applying for a job. We know it can be overwhelming, so we've tried to answer some basic questions for you here! 

PLEASE ADVISE: Due to this hiring process being on a rolling basis, we will continue to look for new hires until we have filled all positions. Applicants that accept their job offer will be expected to commit to their job offer even if another opportunity comes about. If an applicant rescinds their offer after accepting it, they will not be allowed to apply for another position with Conference and Event Services in the future. If an applicant is weighing their options, then we recommend that they apply later on in the process when their affairs have been sorted out. With that said, an applicant will run the risk of not being able to apply for a desired position by choosing to apply later on in the process.

What is the Interview Process?

Preliminary interviews may involve up to two applicants and one or two Tufts Conference and Event Services staff members. These interviews are viewed both as a chance for our staff to learn more about the applicants and for the applicant to have any questions or curiosities that he/she/they may have about Tufts Conference and Event Services answered and explained. Applicants may be interviewed together regardless of the position for which they are applying.

Final interview notifications will be made shortly after completion of the preliminary interview, but you may be hired without participating in a final interview. If selected, you should be prepared to return for a second interview shortly after the first round. These interviews are more position-specific and provide a chance for the applicants to meet more of the summer staff. Final interviews will only involve one applicant. Applicants are encouraged to ask any remaining questions that they may have regarding the specific positions in which they are interested or regarding Tufts Conference and Event Services in general.

Both rounds of interviews are professional interviews that we take seriously. Appropriate interview attire is requested. Please keep your appointment or kindly notify us and reschedule if a conflict arises.

What will we be doing during Commencement Week?

Commencement week is split between preperation for commencement, and front desk operations once guests arrive.

Mon-Wed: training, supporting the Auxiliary department with commencement prep.

Thursday-Sunday: 24/7 front desk shifts, including greeting and checking in/out Commencement visitors. Further support to the auxiliary team, as needed.

What is the schedule during Commencement Week?

All staff are expected to work full-time from May 13th – May 20th, 2024 to assist with Commencement. Shifts will typically be 9:00am – 5:00pm from Monday to Wednesday, with shifts running 24/7 from Thursday to Monday.

Graduating seniors will be expected to work this week, but will be given the weekend off. Limited accommodations may be made for Senior Week activities at the discretion of your supervisor.

Please be clear in your interview if you have any conflicts during this week. Volunteering/working with another department during this week is strongly discouraged.

What housing is available during Commencement?

Staff already living on campus will have their housing extended through Commencement Weekend. Those who do not live on campus may request housing if they do not have a local residence.

Conference Services staff will be permitted to move into summer housing on Monday, May 13th. Some students may also be allowed to move in earlier, as allowed by Facilities and Residential Life, but this is not guaranteed.

Can you tell me more about summer housing and meals?

All Conference Services staff are offered complimentary housing in a dormitory on campus. Rooms may or may not be shared depending on demand and availability. A duty meal in the dining hall is provided for each shift worked.

There are also limited kitchen facilities available for use in staff residence halls.

All staff choosing to live on-campus must adhere to university housing policies and a departmental code of conduct. Housing is a privilege and may be revoked at any time if employees do not adhere to the code of conduct or are terminated.

What is the schedule during the summer?

All Conferences Services Staff should be available and ready to work beginning on Monday, May 13th, 2024, but the summer schedule will not start until after Commencement Week. All positions typically have at least 2 days off per week, but not every position has traditional weekends. Some positions will require part-time spring hours; please see individual position descriptions for more information.

We do our best to accommodate requests for days off (family reunions, graduations, weddings, etc.), as long as the request is made well in advance. Requests for extended time off (more than three days) are not typically permitted. A weekly schedule is posted approximately four days prior to the start of the week (usually Tuesdays or Wednesdays).

Can I take classes and work at the same time?

If applicants are planning on taking a class, CES Full-Time Staff will evaluate whether the applicant would be able to commit the appropriate amount of hours allocated to their position, before giving an offer. Unlike the fall and spring semester, work must be given a higher priority. In the past we have seen our summer staff have difficulty in balancing the two.

Due to the full-time and unusual schedules associated with the Guest Services position, we discourage taking any classes during the second semester. For first summer-session classes, applicants should review the class schedule prior to committing to ensure a fair distribution of hours.

Due to the position of the Front Desk being approximately 24 hours per week, FD Staff members have more flexibility. The department still highly encourages applicants to evaluate whether they are able to commit to both the summer position and class.

If applicants are offered an interview, they must inform the department representative of their intention to enroll in a Summer Session class, so that there is an opportunity to discuss any impact on scheduling.

What do I need to be eligible to work with you?

All employees of Tufts Conference and Event Services are required to have a valid US Social Security Number (SSN) by their first day of employment.
